Privacy & POPIA Policy

Last updated: 16 August 2026. This policy explains what personal information Build Your Brand collects, why, and how it's protected, in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

1. Who we are

Build Your Brand ("we", "us", "our") is a branding and promotional-merchandise business based in Tierpoort, Pretoria, South Africa, and is the responsible party for the personal information described in this policy. This policy covers information collected through buildyourbrand.co.za and in the course of quoting, producing and delivering branded orders.

2. Information we collect

Depending on how you interact with us, we may collect: your name, company name, phone number, email address, delivery address/province, order and quote details (products, quantities, branding requirements), artwork/logo files you upload, and — if you create an account — a password (stored as a one-way hash, never in plain text).

3. Why we collect it

We use your information to: prepare and send quotes, process and fulfil orders, communicate about your order (including via WhatsApp, where you've provided a number for that purpose), deliver products, and — where you've created an account — let you save and retrieve your quote list across devices. We do not sell your personal information to third parties.

4. Legal basis for processing

We process your information because it's necessary to perform a contract with you (preparing and fulfilling a quote/order), because you've consented (e.g. the consent checkbox on our quote form), or because we have a legitimate business interest in responding to your enquiry.

5. Sharing your information

We share information only where necessary to deliver your order: with couriers/delivery partners to get your order to you, and with our email/hosting providers who process data on our behalf under standard confidentiality terms. We do not share your information with promotional-product suppliers beyond what's needed to source and brand your specific order.

6. How long we keep it

We keep quote and order records for as long as reasonably necessary for business, accounting and legal purposes. Account information is kept until you ask us to delete it. Artwork files are kept for the duration of the relevant order plus a reasonable period in case of reprints, then deleted.

7. Security

We take reasonable technical and organisational measures to protect your information — including password hashing, restricted access to order data, and secure hosting. No system is 100% secure, but we treat your information with care.

8. Your rights under POPIA

You have the right to: request access to the personal information we hold about you, ask us to correct or delete it, object to certain processing, and withdraw consent where processing is based on consent. To exercise any of these rights, contact us at orders@buildyourbrand.co.za.

9. Cookies & local storage

This website uses your browser's local storage (not third-party tracking cookies) to remember your quote list between visits. This stays on your device and is not sent to us until you submit a quote request. We do not currently use third-party advertising or analytics cookies.

10. Information Officer

11. Complaints

If you're unhappy with how we've handled your information, you can lodge a complaint with the Information Regulator of South Africa (inforegulator.org.za).
